Terms & Conditions of Travel
Before booking a trip with Explore Manaslu please take the time to read and understand the conditions of booking set out below. We strongly recommend that you also read the Essential Trip Information and Booking Terms & Conditions relating to your trip before booking to ensure that you understand the itinerary and more trip you are undertaking.
Booking Terms & Conditions
1.Down Payment/ Payment of the Balance
To secure place your trip you must pay a 25% as per the company policy. The rest of the payment can be paid 30 days before departure. The final payment can be made by bank transfer, cash or by Credit Card (Visa or MasterCard). There will be 4.5% surcharge when the payment done by card. Note that: There is no handling charge for payment by bank transfer. This applies to all payments; deposits, final balances, trip extension, and miscellaneous purchases. Please note that a higher deposit is required for some selected trips. Please contact us if this will cause you any problems and we will be happy to help. When you sign the booking/reservation form you (and any other person on whose behalf you book/reserve) agree to accept all the following conditions, you acknowledge that you have read the conditions of this agreement and you ensure that the information you give on the booking/reservation form is complete and accurate
2.How to pay your deposit

Note that: Email us the bank reference number or remittance slips after you initiate the transfer. The Company is not responsible for any incidental expenses or consequential losses that the Client may have incurred as a result of the booking such as visas, vaccinations, non-refundable flights other fees, loss of earnings, or loss of enjoyment, etc.
3. Last Minute Booking
We accept last minute bookings in case of Nepal trips, but we cannot accept last minute bookings for Bhutan and Tibet tours. Regarding trips in Tibet, Bhutan final payments should be made 21 days before the start of the trip, for more info email us. Note that: If you fail to join a tour, join it after departure, or leave it before its completion, no refund will be made.
4. Supplement Charge
On our tour/trek packages, rooms or tents are provided on a twin sharing basis. A single room supplement charge will be imposed on clients who do not have another tour participant to share a room /tent with. Email us if you need any personal arrangements.
5.Prices & Surcharges
Our trip prices may vary following demand, market conditions (depending on Season) and availability. It might happen that different passengers on the same trip have been charged different prices. Once you have received a quote the price will be locked provided you pay the required deposit before the quote’s expiry. Any reduced pricing or discounts that may become available after you have paid your deposit will not apply. If you wish to cancel your booking to take advantage of a cheaper price 30% cancellation conditions apply. The most detailed pricing is available on our website. Prices are based on currency exchange rates as of Nepal Rasta Banknote and prices may vary depending on which currency the booking is made. We reserve the right to impose surcharges up to 30 days before departure due to changes in exchange rates, increases in airfares or other transportation costs, increases in local operator costs, taxes, or if government action should require us to do so. In such instances, we will be responsible for any amount up to 2% of the trip price and you will be responsible for the balance. If any surcharge increases by more than 10% of the trip price you may cancel the booking within 14 days of the notification we send of the surcharge and obtain a full refund. We will not surcharge any booking for travel within the validity of this brochure once paid in full.
6. Cancellation by us
If Explore Manaslu cancels your trip because of unforeseen circumstances like war, natural disasters, terrorism, political instability or other external events it is not viable for us to operate the planned itinerary we will be happy to refer you alternative trip of a similar standard. If we cancel your trip, you can transfer amounts paid to an alternate departure date or receive a full refund. In circumstances where the cancellation is due to external events outside our reasonable control refunds will be less any unrecoverable costs. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, and travel insurance excess or non-refundable flights (conditions). Please note that different cancellation conditions may apply to some styles of trips; your booking consultant will advise if differences apply.
7. Cancellation by clients:
Any cancellation by a Client must be made in writing and acknowledged by the Company. The date on which the Company or its Agents receive the request to cancel will determine the cancellation charge applicable. The cancellation charges are expressed hereafter as a percentage of the total tour price Cancellation 60 days or more before departure: Loss of deposit. Cancellation 59-21 days before departure: 50% of the cost of services booked. Cancellation less than 21 days before departure: 100% of the cost of services booked. The Client is strongly advised to take out cancellation insurance at the time of making the booking. But remember, any other expenses incurred by you as a result of this booking are entirely your responsibility. The cost of the amendment may be higher depending upon the company’s arrangements with other parties such as hotels, guest houses, ground operators or airlines. The above cancellation fees are in addition to fees which may be levied by accommodation providers, travel agents or third party tour and transport operator fees. Cancellation fees apply to cancellations of full trips/parts of the trips. The 25% deposit is non-refundable. If you need to cancel after paying the full amount we will refund your money, but take a 25% cancellation charge. Cancellations will only be effective when we receive written confirmation of the cancellation. If you cancel a trip before your booking is confirmed and a contract comes into force, the Company reserves the right to increase or decrease brochure prices as follows: 30 days or more prior to departure, we will retain the deposit; 15 and 29 days prior to departure, we will retain 40% of the total booking cost 14 days or less prior to departure, we will retain 70% paid by you in connection with the booking.
8.Incomplete Tours
Please note that no refunds will be made if you voluntarily leave a trip for any reason after the trip has begun i.e. sickness, the death of a family member etc. Similarly, no refunds will be made for a late start. No refunds will be made for any accommodation, transport, sightseeing, meals or services not utilized.
9.Booking amendments
To make alterations to any trek/tour itinerary, prior notice is requested on time. If you wish to transfer from one trip to another or transfer your booking to a third party you must notify us at least 30 days before the proposed departure date. A fee of $200 per person per change will apply (in addition to any charges levied by hotels, ground operators or airlines). If you notify us less than 30 days before the proposed departure date the refund policy applicable to cancellations will apply. Transfers to a third party are only permitted where the transferee meets all the requirements about the trip, and transfers to another departure can only be made to a departure within the current validity period
10.Papers & Documents
All necessary documents should be presented in sequence for example to issue a visa, necessary permits etc. We’re not accountable in the case of any trip formality not being completed in time before the trip departs on the absent of essential papers and documents.
11.Flight delays and changes in the itinerary
Lousy weather in mountain regions can cause domestic flight delays. There is a high possibility of flight delay or postponement, which is particularly likely in the Everest region (Lukla), Pokhara, Jomsom, and Dolpa, region etc. In these cases your itinerary will be modified by shortening, varying or re-routing any. These changes are binding and additional expenses will be charged to you. Any flights forming part of your trip will be subject to the General Conditions of Carriage and Conditions of Contract of the airline concerned, which will be outlined on the airline ticket. Such flights will also be subject to international law which often limits the airline’s liability to passengers in respect of death or bodily injury, delay and loss or damage to baggage. In the case of delayed domestic flights, Explore Manaslu will meet departing city accommodation (Guest House) and food (Lunch & Breakfast) costs before your trip. However, in the case of delayed return flights, the client is responsible for bearing all additional expenses including food and accommodation costs. If you wish to make alternative arrangements such as Helicopter flight to avoid flight delays, all additional cost would be your responsibility. After departure: We reserve the right to change an itinerary after departure due to local circumstances or events outside of our control. In such emergency circumstances, the additional cost of any necessary itinerary alterations will be covered by you. Please note we are not responsible for any incidental expenses that may be incurred as a result of the change of itineraries such as visas, vaccinations or non-refundable flights
12.Responsibilities
A group leader runs our group trips. They are experts and dedicated to your safety and well-being so please treat them as such, the decision of the group leader is final on all matters likely to affect the safety or well-being of any person participating in the trip, this includes routes, distances, and accommodation. If you fail to comply with a decision made by a group leader or interfere with the well-being or mobility of the group, the group leader may direct you to leave the trip with no right of refund. You must at all times comply with the laws, customs, foreign exchange and drug regulations of all countries visited and also agree to travel by our responsible travel guidelines. Please also note that while on the trip we may have to make some changes in the itinerary depending on circumstances
13.Small groups & combination trips
Our trips are guaranteed to depart once the traveler has paid in full unless minimum group size states explicitly otherwise. This means at times we can have groups with small numbers of travelers. If the group members have canceled or postponed the tour, or need to break an itinerary during the trip, your tour will run even if you are only one. Many of our trips are designed to fit with other departures to create a longer “combination” trip; this means that some of your group may have already been traveling together for some weeks when you commence your trip. If you would like to know how many people are booked on your trip or any combination trip it is part of please ask before making your booking
14.Passport & visas
You must carry a valid passport and have obtained all of the appropriate visas, permits, and certificates for the countries when traveling with Explore Manaslu team. Your passport must be valid for 6 months beyond the duration of the trip. Nepali Visas are available on arrival in Nepal and can be obtained from Nepali embassies in your home country. For Tibet & Bhutan, the company can make necessary arrangements upon request. It is your responsibility to ensure that you are in possession of the correct visas, permits, and certificates for your trip. Please refer to the Essential Trip Information for details. We are not responsible if you are refused entry to a country because you lack the correct passport, visa or other travel documentation.
15.Claims & complaints
If you have any subject of a complaint about the tour/trekking and climbing, you must notify to the tour leader or guide at the earliest opportunity. If the situation cannot be rectified complaint contact our local representative or at the Kathmandu head office. If we are not able to resolve the issue any further complaint should be put in writing to us
16.Photos & marketing
Our Company may use images of travelers taken during the trip for advertising and promotional purposes in any medium we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes.
17.Travel insurance
Travel insurance is mandatory for all our travelers and should be taken out at the time of booking. Your travel insurance must cover accidents, injury, illness, and death medical expenses including any related to pre-existing medical conditions, emergency repatriation (including helicopter rescue and air ambulance where applicable) and personal liability with a recommended minimum coverage of US$10000, for each of the categories of cover. Explore Manaslu also recommends your insurance policy covers cancellation, curtailment, personal liability and loss of luggage and personal effects. You must provide proof of your travel insurance on the first day of your trip as you will not be able to join the trip without it. If you obtain travel insurance through us you acknowledge that you are satisfied with the level of insurance we have arranged. You must carry proof of insurance with you and produce it if reasonably requested by the company employees or suppliers. You must purchase a comprehensive travel insurance package against medical, natural calamity, helicopter evacuation, personal accident, trip cancellation etc. If this is not done you will not be allowed to continue on the trip and will not be entitled to any refund for services not provided. On an excursion of this nature, it is necessary for you to abide by the authority of the leader, who represents our company, the decision of the leader as to the conduct, itinerary and objectives of the tour is final. Signing our booking/reservation form signifies your agreement to this. If in the opinion of the leader your behaviour or physical condition is detrimental to the safety, welfare and well-being of the group as a whole (which are the paramount considerations), or if (in consultation with the trek medical person, if there is one) the leader considers your general well-being will be put at risk by continuing with the holiday, you may be asked to leave the tour without the right to any refund.
18.Flexibility
You appreciate and acknowledge that the nature of this type of travel requires considerable flexibility and you should allow for alternatives. The itinerary we provided for each trip is representative of the types of activities contemplated, but it is understood that the route, schedules, itineraries, amenities, and mode of transport may be subject to alteration without prior notice due to local circumstances or events.
19.Acceptance of risk
You acknowledge that the nature of the trip is adventurous and participation involves a degree of personal risk. The traveler/trekker understands that during the trip certain risks and dangers may occur including the pressure of traveling in mountainous terrain, accident or illness in remote places without medical facilities. You will be visiting places where the political, cultural and geographical attributes present dangers and physical challenges more significant than those present in our daily lives. However, it is also your responsibility to acquaint yourself with all possible relevant travel information and the nature of your itinerary. You acknowledge that your decision to travel is made in light of consideration of this information and you accept that you are aware of the personal risks attendant upon such travel. The traveler agrees to assume all risks associated with the journey, and agrees that no liability will be attached to the company or its outfitters, employees or agents, or any member of the tour group in respect to death, personal injury, illness or delay of Trekker, or for any loss or damage to the property of the traveler/trekker during the course of the trip, however, caused.
